VFS Birmingham Appointment Day 2026: What to Bring to 28 Hagley Road

There is exactly one moment in the whole OCI or passport process where you have to be physically present, in person, in a specific building — and for the Midlands that building is 28 Hagley Road in Birmingham's Five Ways area. Everything else now happens online through the 2026 portals. This single morning is the choke point: the place where a clean file is lodged in twenty minutes, or where a small upload error you did not catch sends you back up the A456 to rebook a slot that may be two weeks away.

This is the Birmingham-specific appointment-day guide. Not the national overview — the real business of getting to Hagley Road, parking or busing in, getting through the door, giving your biometrics, and walking out with your file accepted at the VFS centre that serves the entire Midlands. Getting there: 28 Hagley Road and the Five Ways reality#

The VFS Global Birmingham centre is at 28 Hagley Road, Birmingham B16 8PE, on the A456 Hagley Road in the Five Ways area, just west of the city centre. One thing first, because it trips people up: older posts and listings still mention addresses like 66 Wilson Street or Centre City — for 2026 the correct lodging address is 28 Hagley Road. Set your route to that, not to anything you remember from a few years ago.

For arriving:

• Five Ways rail station is the closest, about a 10–12 minute walk down to Hagley Road.
• Birmingham New Street — where most regional trains terminate — is roughly 25–30 minutes on foot, or a short bus or taxi up Broad Street towards Five Ways.
• Frequent buses run along Hagley Road from the city centre, which is often the easiest last leg if you arrive at New Street.

Here is the Midlands-specific catch: Hagley Road is the lodging point for the whole region. Birmingham has an estimated 120,000-plus Indian-origin residents, but the catchment is far wider than the city.

• Leicester — with its own enormous Indian community and famously no VFS of its own — sends applicants on a direct train of roughly 55–60 minutes to New Street, then about a 10-minute bus or taxi to Hagley Road.
• Coventry, Wolverhampton, Nottingham and Derby all route here too.

Security and what you can take inside#

Treat the door at Hagley Road like an airport-lite gate. There is a security check on entry, and anything that slows you down there eats into a tightly timed appointment.

• Bring as little as possible. A single folder of documents, your phone, your keys. Large bags and luggage are unwelcome and there is no real cloakroom — if you have travelled in from out of town, do not arrive with a suitcase.
• Phones are usually allowed but kept silent and away in the application hall; do not expect to photograph the desks or screens.
• No food and drink in the application area, and anything sharp or that reads as a security concern will hold you up.
• A companion may be asked to wait outside. Entry is geared to applicants with a booked slot and seating is limited, so do not plan around a relative sitting with you throughout.

The biometrics step#

For an adult fresh OCI, and for most passport services, the appointment exists to capture biometrics in person — your fingerprints and a digital photograph taken at the desk. This is the single technical reason the trip cannot be posted or done by proxy: the High Commission needs your fingerprints captured under supervision.

The biometrics themselves are quick. You are called to a counter, your documents are checked first, then fingerprints are scanned and a photo is taken. Minors do not give fingerprints and do not need to attend, so a parent can lodge a child's file alone — useful if you are doing a child's OCI alongside your own and do not want to bring them in to Birmingham. The time on the day goes not into the biometrics but into the document check that precedes them, which is why what you carry, and how clean your file is, decides whether your slot runs smoothly or stalls.

The document checklist to carry to Hagley Road#

1. Appointment confirmation — printed, or saved offline on your phone.
2. Current British passport — the passport your OCI will be keyed to, with adequate validity remaining.
3. Proof of former Indian nationality — your old Indian passport (even cancelled or expired), or your surrender/renunciation certificate if you naturalised and surrendered.
4. Proof of Indian origin where the link is not on your own passport — a parent's or grandparent's Indian passport, birth certificate, or domicile.
5. Marriage certificate — if applying through a spouse or if your name changed on marriage (apostilled where issued outside the UK or India).
6. The photo and the signature to exact spec — the silent killer; see below.

Once your file is accepted and biometrics are captured, the in-person part is done. Your application moves to processing — a fresh OCI typically runs 25–35 days after the VFS submission, and an Indian passport renewal runs around 4–5 weeks standard (faster on Tatkal), though seasonal peaks around Diwali and summer can stretch any of them.
